01The Challenge

Asha manufactures and exports Schiffli embroidery machine parts and trimmer machines — a catalogue in the thousands, sold to customers who order by part number and expect a date. Orders arrived as chat messages. Stock lived in a head and a notebook. A part number mistyped in a thread became a wrong shipment three weeks later, and nobody could answer 'where is my order' without scrolling back through a conversation.

02The Strategy

Make the catalogue the system of record, then hang everything off it — the order, the production run, the dispatch, the stock movement. Access is issued by the sales team rather than open signup, because pricing and order history are per-customer and always have been. The floor gets a view built for the floor, not a shrunk-down admin panel.

03The Solution

Custom manufacturing software: a private ordering portal for customers, production and stock tracking for the team, and reporting that answers the questions the chat threads used to.

  • Full part catalogue as structured data, searchable by part number
  • Account-gated ordering, with accounts created and controlled by the sales team
  • A four-stage pipeline — new request, in production, ready to dispatch, dispatched — that every order moves through visibly
  • An attention queue that surfaces pending quantities, delayed jobs and machine overload before a customer has to ask
